What CaseMate holds, why it holds it, and what your firm's data is used for.

01Who this is about

CaseMate is practice-management software used by law firms. A firm signs up, adds its own people, and records its own clients, cases and hearings. This notice covers what we hold and why.

Your firm decides what goes into the system and is responsible for it. We hold it on your behalf so the software can work.

02What we hold about your firm

For the firm itself and each person in it:

• Firm name, city, address, phone, WhatsApp number and email
• Each user’s name, email, phone, role, designation and whether they are active
• A hashed password — never the password itself
• When each person last signed in
• Your plan, seats, subscription dates and our own notes about payments

03What we hold about your clients and cases

Whatever your firm enters, which typically includes:

• Client name, company, phone, WhatsApp, email, CNIC, city, address and notes
• Case number, title, court, case type, opposing party, judge, filing date and your description
• Hearing dates, outcomes, next dates and notes about what happened in court
• The agreed fee, amounts received, and your fee notes
• Who has been assigned each case, and when it changed hands

A client’s CNIC and the details of their matter are sensitive. Enter only what your firm needs in order to run the file.

04What we use it for

To run the software for you: showing your diary, recording outcomes, sending the notifications your plan includes, and supporting you when something goes wrong.

We do not sell it, we do not use your clients’ details for marketing, and we do not use one firm’s data to do anything for another firm.

05Keeping firms apart

Every client, case, hearing and diary update belongs to exactly one firm, and queries are constrained to that firm at the data layer rather than screen by screen. Our own staff can reach firm records only when needed to run or support the service.

06WhatsApp and email

Plans that include WhatsApp reminders send a message to the numbers your firm has recorded for its own people. That means the case numbers and hearing dates in the reminder pass through a messaging provider. Do not record anything in a case title that you would not want in a WhatsApp message.

07How long we keep it

For as long as your firm has an account. If you stop paying, your firm moves to the free plan’s limits rather than losing its history. If you ask us to delete your firm, we delete it.

08Getting your data out, or removed

Ask us at support@casemate.pk and we will export your clients, cases and hearing history for you, or delete your firm. It is your data.

09Where it is held

Ask us before you commit to a paid plan and we will confirm in writing where your firm’s data sits and who operates that infrastructure.
